note2it vs Granola vs Otter

Choose Otter for live transcripts with speaker recognition and CRM integrations. Choose Granola for discreet, bot-free capture from a desktop or phone app. Choose note2it if you want meeting notes that cite the moment behind each decision, become tasks you approve, and live with the rest of your notes — start free with 15 meetings.

Granola and Otter are built around one job: capturing a meeting and turning it into notes. note2it does that too, but it is a notes app first. The meeting becomes a page in your notebook, next to everything else you are working on, where your tasks, your search and your AI assistant can reach it.

All three are good at something different. Here is where each one fits, with Granola's and Otter's facts taken from their own pricing and help pages on the date shown at the bottom of this page.

Otter: live transcription and integrations

Otter is built for capture at scale. Its meeting agent can join your Zoom, Microsoft Teams and Google Meet calls automatically, and you watch the transcript appear as people speak, with speaker recognition. If you would rather not have a bot in the call, Otter's desktop app for Mac and Windows records without one. It transcribes English, Spanish, French, German, Japanese and Chinese. Pro adds Salesforce, HubSpot and Zapier integrations, and Otter runs an official MCP server for Claude.

The free Basic plan gives 300 transcription minutes a month and caps each meeting at 30 minutes. Pro is $16.99 a month ($8.33 billed yearly) and Business is $30 a user ($19.99 billed yearly). Otter's privacy policy lists training its own AI on de-identified recordings and transcripts as a purpose of processing.

Granola: discreet capture you can type into

Granola never joins the call. It transcribes your system audio and microphone in the background from its desktop app on Mac or Windows, or from its iPhone and Android apps, while you type as much or as little as you like; afterwards it writes clear notes from your jottings and the meeting. People who run client calls and sensitive conversations like that discretion. Granola doesn't save the audio itself, so there is no recording to replay later.

Basic is free with 30 days of meeting history, Business is $14 a user a month and Enterprise $35. Its official MCP server works with Claude and ChatGPT; on the free plan it reaches your last 30 days of notes. By default Granola may use anonymized data to improve its models; any user can switch that off, and Enterprise workspaces are opted out from the start.

note2it: meeting notes you can check, approve and find again

note2it records your microphone and the call audio in the browser, with no bot, and turns it into a transcript with the time on every line and a structured summary. Every decision and action item cites the moment it was said; click the time and the recording plays from there, so a doubtful line takes one click to check. The action items it finds are offered in a review card with owner and due date, and only the ones you tick become tasks in My tasks.

Because the meeting is a page in your notebook, it keeps working after the call. Name a recurring meeting once and the next one starts with what is still open; every decision across your meetings sits in one Decisions view; Ask your notes answers questions across all your pages with citations. Before every recording, note2it asks you to confirm that participants are informed, and keeps that acknowledgment on file.

The honest trade-offs

If you need to read the transcript while the meeting is still going, note2it isn't built for that: it transcribes when you stop. If you want named speakers from Zoom or Meet, Granola and Otter label them; note2it estimates Speaker 1 and Speaker 2 from the text and does no voice analysis. And if your notes have to flow into Salesforce or HubSpot automatically, Otter and Granola integrate with CRMs and note2it doesn't.

What note2it trades those for is what happens after the call: notes you can verify against the recording, tasks you approved, and meetings that live with the rest of your notes rather than in a separate meeting tool.

Choose note2it if…

  • You want to check any line of a summary against the recording in one click.
  • You want action items to become tasks only after you approve them.
  • Your meetings should live in the same notebooks as the rest of your notes, where you and your AI can search them.
  • You want Claude or ChatGPT to edit your meeting notes, not just read them, with every edit reversible.
  • You want an app in English and French, no model training on your notes, and data hosted in Canada.

Choose Granola or Otter if…

  • Granola: you want discreet, bot-free capture from a desktop or phone app while you type your own notes.
  • Granola: you want a meeting tool your AI can search, with Notion, HubSpot or Attio integrations on Business.
  • Otter: you need a live transcript during the call, with speaker recognition.
  • Otter: you want an agent that joins every Zoom, Teams and Meet call automatically, and Salesforce or HubSpot integration.

Questions

Does note2it send a bot into my meetings?

No. note2it records your microphone and the call audio from your browser, so nothing joins the call and nothing appears on other participants' screens. Before each recording you confirm that you will tell participants you are recording.

Which one has a free plan?

All three. note2it Standard includes your first 15 AI meetings in total. Granola Basic is free with 30 days of meeting history. Otter Basic gives 300 transcription minutes a month, up to 30 minutes per meeting.

Can Claude or ChatGPT read my meeting notes?

With all three, through an official MCP server. Granola's and Otter's servers let an assistant search and read your meetings. note2it's, on Premium and Pro, can also edit your pages if you allow it, and every assistant edit can be undone.

Does any of them train AI on my meetings?

note2it doesn't, and neither does its AI provider. Granola may use anonymized data by default, and you can opt out in settings. Otter's privacy policy lists training its own AI on de-identified recordings and transcripts.

Can I play back the moment something was said?

In note2it, yes: every line of the transcript and every decision and action item in the summary carries a time, and clicking it plays the recording from there. Granola doesn't save audio, so there is nothing to replay.

Which one shows a live transcript?

Otter. Its transcript appears as people speak, with speaker recognition. note2it transcribes once you stop recording, and focuses on what you do with the notes afterwards.
